Attending with Confidence: Cancellation, Liability & Participation Policy

At Clinique Med Events, we are committed to delivering a high-quality, enriching, fully in-person experience. This policy outlines our approach to cancellations, refunds, travel responsibilities, program adjustments, and event communication. We aim to be transparent, fair, and aligned with the collaborative spirit that defines our community.

1. Our Commitment to In-Person Collaboration

Clinique Med Events is designed as a fully in-person experience. We do not offer virtual or hybrid alternatives.

In the unlikely event that the conference cannot proceed due to circumstances beyond our reasonable control – including but not limited to government restrictions, public health emergencies, natural disasters, civil unrest, venue unavailability, or other force majeure events – the event may be cancelled or postponed.

If cancelled by the organiser, a full refund of registration fees will be provided. The organiser is not responsible for travel, accommodation, visa, insurance, or other related expenses incurred by delegates.

2. Delegate Cancellation

We understand that circumstances can change. If you need to cancel your registration:

Up to 30 April 2026: Full refund minus a $100 AUD administrative fee (per registration).
1 May – 31 May 2026: 50% refund of registration fees.
From 1 June 2026 onwards: No refund.

The final date to register is 15 June 2026.

All cancellation requests must be submitted in writing via email.

Payment processing fees (where applicable) are non-refundable.

3. Accommodation and Hotel Bookings

Clinique Med Events does not profit from accommodation bookings but may hold minimum room commitments with host hotels.
Delegates are responsible for managing their own accommodation bookings.
We are not liable for hotel cancellations, disputes, or changes in rates.
If official conference rates are not honoured and the group allocation has not sold out, we will assist in liaising with the hotel where possible.

4. Program Flexibility

We strive to deliver a dynamic and relevant scientific program. However, the organiser reserves the right to make reasonable adjustments to speakers, session formats, schedules, or venue arrangements where necessary. Such changes do not constitute grounds for refund.

5. Travel & Entry Requirements

Entry requirements to Saudi Arabia are subject to change.
Delegates are solely responsible for verifying visa requirements, vaccination requirements, and entry regulations applicable at the time of travel. Clinique Med Events is not liable for denial of entry, visa refusal, travel disruption, or failure to meet host country requirements.

6. Insurance

Delegates are strongly encouraged to obtain comprehensive travel insurance covering:
Flights
Accommodation
Medical care
Event cancellation
Unforeseen disruptions

Participation in the conference and any associated activities is at the attendee’s own risk.

7. Communication

Official updates will be sent via email and published on our website.
During the conference, WhatsApp will be used for real-time updates and logistics.
Delegates are requested to provide a WhatsApp-enabled mobile number that will be active during their stay in Saudi Arabia.
